The Real Estate Coordinator will maintain and update real estate databases in LeaseQuery and Leasecake, while also administering and upholding analytics data. The position will prepare, maintain, and distribute department reports and files for all leased properties, and ensure ongoing communication with property managers and landlords for all issues including payments CAM expenses and certifications. This role will assist the Real Estate manager in negotiations, and work with other departments (Legal, Accounting, etc.) to resolve disputes, calculate property taxes and rent increases, review surplus properties for disposition, and review market data to ensure appropriate lease terms.   • 2-year Associate’s degree or 4-year Bachelor’s degree preferred;
  • Prior Real Estate Industry or Paralegal experience preferred;
  • Must be proficient in the use of Microsoft Word and Excel, as well as lease management software;
  • Strong organization, prioritization and time management skills a must;
  • Strong, grammatical, verbal, and spelling skills required;
  • Detail oriented, good math aptitude for numbers, ability to multi-task, make effective decisions and work independently;
  • Excellent analytical and problem-solving skills to identify and resolve errors;
  • Outstanding ability to manage relationships and balance customer, project, organization, and team needs to ensure mutually beneficial outcomes;
  • Strong negotiation skills in securing favorable terms and agreements;
  • Results-driven mindset with a focus on achieving annual objectives.

 

What you will do

 

  • Maintain and update databases in LeaseQuery and Leasecake. Administer and maintain the Company analytics database and manage the annual refresh of SimmsOnline software provided by Forum Analytics;
  • Prepare, maintain, and distribute various department reports; Effectively set up and accurately maintain department files for all company owned and leased properties and manage the department files located in off-site storage;
  • Perform property management functions for the real estate portfolio. Communicate with and manage third party property managers, owners and landlords of properties adjacent to owned or leased properties within assigned Region(s), including Right of Entry letters, Estoppel Certificates, landlord correspondence, tenant disturbance coordination, etc.;
  • Authorize the payment of invoiced CAM and/or Consumer Price Index (CPI) related rent increase, reimbursement request from landlord for real estate taxes and miscellaneous lease related charges;
  • Assist Real Estate & Business Development Manager in management of surplus properties for disposition. Ensure the proper disposition of company owned properties, including listing agreements, appraisals, reviewing market data, preparing LOI and other correspondence, participating in negotiations, coordinating closings with Legal Department;
  • Assist Real Estate & Business Development Manager in lease administration, including negotiation of lease extensions, verification of ownership of leased properties;
  • Work with Legal Department and landlords to ensure all documentation is provided to avoid title and lease or REA related issues;
  • Calculate the rent, rent increases, property taxes, common area maintenance charges (CAM), obtain certificates of insurance, and share this information with internal teams, and communicate with the landlord to secure this information;
  • Work with Restaurant Operations and landlords to resolve lease/shopping center REA related questions and property management matters, including but not limited to security and ensuring landscaping and snow removal is completed in a timely manner. Tasks include a review of REA’s or other development agreements to be sure that the property is being managed according to the required terms of the agreements. Negotiate effective resolutions to conflicts to ensure compliance with agreed upon terms;
  • Collaborate with and support the Facilities, Accounting, Legal, Tax and Manufacturing teams for all property management related tasks.
